Talent Assistant - Job Description


The Talent Assistant is responsible for providing support for the recruitment of production and salaried positions. This includes all aspects of recruitment efforts, administrative efforts as well as maintaining effective and efficient processes and reporting. This position will also assist with other project related and administrative duties within the function as well as the HR team.


  • Recruit for high volume production positions to ensure plant is fully staffed
  • Screen and recommend applicants using ATS
  • Data entry and ATS entry of applicants and referrals
  • Conduct high volume of phone screens and schedule interviews
  • Deal with high volume of incoming calls, solve applicant issues and escalate to Talent Coordinator as required while providing excellent customer service
  • Complete reference checking process
  • Maintain administrative processes including creating new hire packages, offer letters, on-boarding materials, proper new-hire documentation, filing etc...
  • Assist with maintenance of recruitment tracking using spreadsheets and ATS
  • Liaison with Employee Services Representative for plant tours
  • Manage online postings
  • Assist in career fairs and networking events
  • Assist in foreign recruitment preparation for skilled and semi-skilled production positions
  • Assist Talent Acquisition Coordinator in developing and implement plans for staffing initiatives
  • Follow up regularly with hiring managers and candidates to ensure that the recruitment process moves forward in a timely manner
  • Assist with Talent projects and intiatives
  • Assist with other administrative duties within the HR Department
  • Other duties as required

Personal Development

  • Attend company required training
  • Remain current with technical knowledge in areas of responsibility
  • Attend regular 1:1 coaching/update sessions


  • Post-secondary education in Human Resources and CHRP designation preferred
  • 1-3years of experience with high volume recruitment
  • Experience in manufacturing/production recruitment is preferred
  • Intermediate MS Office knowledge
  • Strong understanding of recruitment metrics and process improvement
  • Clear understanding of full-cycle recruitment
  • Clear understanding of legal requirements
  • Outstanding communication skills and team player with a positive attitude day in day out
  • High level of professionalism and ability to work with confidential and sensitive information
  • Ability to remain calm in stressful situations and prioritize when needed
  • A desire to build strong working relationships
  • Strong organization and multitasking skills
  • Strong sense of urgency and ability to adapt to changing circumstances
  • Demonstrated creativity in recruitment efforts
